Source Labels

    The Source Labels window is reached by clicking the Other Reports button on the Reports tab on the Ribbon bar and then choosing Source Labels from the dropdown list.  

You can print source labels to place on your source document folders. The labels can include the actual source citation along with optional source text and comments.

To print source labels:
1. Choose Other Reports from the Report tab on the Ribbon bar and then choose Source Labels from the dropdown list.
2. Choose which sources to print.
3. Select what you want to print on the labels.
4. Choose borders and pictures.
5. Select the label type, or choose the specifications for a custom-size label.
6. Make other adjustments as needed for margins, indentations, and line spacing.
7. Click the Print or Preview button.

Following is a description of the various options and features available when printing name tags and address labels.

Sources to Print
You can choose to print source labels for All Sources or Only tagged sources or Only untagged sources or Only the Current Source.
When printing the citations, you can choose to Indent first line or use a Hanging indent.

Include [[ Private ]] text - Include any parts of notes and other fields that have been marked as private using the double opening [[ and closing ]] square brackets.  You also have the option to remove the double brackets.  See Notes.

What to Print
You can print the source label(s) showing all the information that has been entered for them, including text and comments by choosing the Print Entire Source option.  To print the label(s) using the current printing options, choose Print Source using Print Options.  (The current print options are set in the last report you printed.)

Borders and Pictures
Borders-You can choose to print a border around labels by selecting the Border checkbox.  If you would like to have a shadowed box, select the Shadow checkbox.  The current border style is displayed in the box and can be changed by clicking the Choose button.  (See Box Border Styles for more information.)  You can also choose a line color for the borders by clicking the Color button.
Box Background Color-When printing borders, you can choose a background color for the boxes.  Click the Color button to select the desired color.  
Text Color-Click the Color button to choose the color of the text of the labels. 

Label Type
You can print using standard Avery label sizes or any other custom size you choose.  If you want to print on a custom size label, jump down to the Custom Size section below.

To print on a standard Avery label size:
1. Select the Use the Selected Label Below checkbox.
2. From the Label products combo box, choose either Avery US standard or Avery A4 sizes.
3. From the Product number list, choose the label style you want to use.  As you scroll down the list, the specifications of the highlighted label is shown in the Label Information box to the right.

If you want to copy the size and spacing values from the currently highlighted label type over to the Custom Sizes tab, click the Copy Values to Custom Size button below the list.

Custom Size
To print on a custom label size:
1. Select the Use these custom settings checkbox.
2. Specify how many labels columns there are across your page.
3. Indicate how many rows of labels there are.
4. Enter the width of an individual label.
5. Enter the height of an individual label.
6. Enter the distance from the left edge of one label to the left edge of the next label to the right.  (This only applies if there are more than one label across the page.)
7. Enter the distance from the top of one label down to the top of the next label.

Other
This tab allows you to do some fine tuning of the printing process.
 
  • Line Spacing-The amount of space between each printed line.  This will depend on the size of the font being used.  The default setting is 110 percent.  If a 10 point font is being used, the next line will be 11 points down from the top of the current line.  To more loosely space the printing, increase the setting.  To tighten up the lines, decrease it.
  • Border Margin-If printing a border around the labels, this is the distance from the edges of the label to the border.
  • Text Margin-This is the distance from the edges of the label to the text being printed.
  • +/- Horizontal Adj. and Vertical Adj.-If, after printing a page of labels, you find that the printing needs to be adjusted a little up or down, or left or right, you can use these values to nudge the position.
  • Starting printing on label number - You can print the label(s) on the first sheet of labels starting at any label number.  The labels are numbered from left-to-right and from top-to-bottom. For example, if you have already printed the first label on the sheet, you can print the next label(s) starting on the second label, thus not wasting any remaining labels on the sheet.  After the first sheet of labels is printed, the printing will continue on the first label of all subsequent sheets.

    Copies of Each Label
    You can print multiple copies of each label by increasing this setting.

    Page Setup
    Click the Page Setup button to change the size of the page you are printing on and also to set the margins.

    Save
    If you want to save all the settings for use in the future, click the Save button.

    Load
    You can load previously saved settings by clicking the Load button.

    Reset
    To reset all the settings to their default values, click the Reset button.

    Where to Send the Report
    The report can be output to various formats.  Make your choice by clicking on the appropriate option button in the lower right.  The choices are:
  • Screen / Printer - Sends the report to either the Print Preview window or directly to your printer depending on whether you click the Preview or Print button.
  • Text File - Creates a plain text file of the report.  This file can then be easily viewed with any text editor or word processor.  You have the option to put the text With quotes and to Group fields on one line.

    PDF File - Generates the report, displays it in the Print Preview window and then creates an Adobe PDF (Portable Document File) file.  This file can be viewed with the free Adobe Acrobat Reader and easily sent to other people by e-mail.  (This feature is part of the Deluxe Edition only.)

    Printing
    When you have set all the options, click either the Preview button to see an on-screen view of the labels before they are actually printed, or click Print to have them sent directly to the printer.
